Before you put your clients into a system, ask this
Your client base is the salon's most valuable asset. Five questions about the way out, and the signs a tool intends to keep it.
If one day you closed the salon and had to start again somewhere else, the only thing you would really take with you is the list of people who trust you. Dryers can be bought again. That list cannot.
Which makes it striking how rarely anyone asks about it before putting that list into a system. When comparing tools, everyone looks at the price, the features and how easy it is to start. Almost nobody looks at what happens the day they want to leave. And it should be the other way round: they all make getting in easy, because it suits them.
These five questions take five minutes and save you years.
1. Can I export my clients whenever I want?
The answer has to be yes, with no conditions and without asking permission. If you have to open a support ticket, wait days or explain what you want it for, that is not exporting: it is requesting, politely, something that is already yours.
Test it before you commit, not when you are on your way out. If you are on a trial, export the list on day one even if you only have four records. What you find there is the real answer, not the one a salesperson gives you.
2. In what format, and with what inside?
A file with names and phone numbers is fine. A file with names, phone numbers, visit history and preferences is your actual client base.
The difference matters far more than it looks: without the dates of the last visits, the next system starts blind and takes months to learn who you are missing. With them, it works from the first week. We go into it in how to move your clients from one program to another.
3. Who talks to my clients, and on whose behalf?
This is the question asked least and the one that changes the most.
There are two different models and from the outside they look alike. In one, the tool works for your business: it replies in your name, from your number, and the relationship stays yours. In the other, the platform is also a shop window where your client discovers other salons, receives its messages and its offers, and ends up being the platform's client as much as yours.
Both can be legitimate. But it is worth knowing which one you are signing up for, because in the second your client base is not just stored: it is being used.
A quick way to tell them apart: ask whether they charge you anything per booking. When a tool earns money per booking, its interest is to sit in the middle of the relationship. When it charges a flat subscription, its interest is that you do well and keep paying it.
4. What happens to the data if I stop paying?
It is not an awkward question: it is the one that separates a serious provider from the rest. The reasonable answer is that you get a window to download everything, and that they warn you before deleting anything.
If they have never thought about it, or you get vague answers, that hesitation has already told you plenty.
5. Where is my data and who answers for it?
Your clients' data is your responsibility towards them, not only your provider's. That it is handled on infrastructure in the European Union, under a proper processing agreement, is not paperwork: it is what covers you if somebody ever asks. We develop it in client data protection in your salon.

Three signs they plan to keep your client base
- Export appears in no menu. If you have to hunt for it, they would rather you did not find it.
- Your clients write to a number that is not yours. When the conversation lives on the platform and not on your phone, the day you leave it stays there in full.
- They charge for each new booking. Not bad in itself, but it means their business grows when they sit in the middle, not when you grow.
