Features

Everything ClaudIA does.

ClaudIA is known for what it does in the first minute: replying. But half the work happens after the call ends — the client record, the reminders, the campaigns, the packages, the reports — and that is the half you notice at the end of the month. This is all of it, both in the beauty sector and in a dental clinic.

Answers your clients

Replies on every channel, at any hour.

  • Answers WhatsApp, Instagram and phone calls.
  • Takes calls by voice, in a natural conversation.
  • Understands voice notes and photos, not just text.
  • Speaks several languages and replies in the client's own.
  • Booking button on your Google listing and on Instagram.
  • In a dental clinic it prioritises urgent cases without ever commenting on symptoms: it gives the first free slot and alerts the team.

Runs the schedule

Books and organises appointments with no extra work.

  • Books appointments on its own, 24/7, including when the business is closed.
  • Your own booking page, with your logo and your colour: they pick the service or treatment, who with and at what time, and the appointment lands in your schedule. Nobody signs up or installs anything.
  • A booking link for each channel — Instagram, Facebook, your Google listing and your website —, links per service and per professional, and a QR poster for the door.
  • On that page you decide the minimum notice, how many days are visible and whether prices are shown.
  • Makes use of waiting times: fits a short appointment while a treatment takes effect.
  • Offers the real gaps in your schedule and keeps it up to date.
  • Changes and cancels appointments in the same chat, with nobody having to call.
  • Syncs with Google Calendar.
  • Chains combined services into a single appointment.
  • Books a whole series at once: six sessions three weeks apart are in the schedule on day one, keeping the treatment's rhythm.
  • Runs the waiting list and fills last-minute gaps; in a dental clinic, whoever was waiting in pain goes first.
  • Confirms the appointment from the reminder itself: the patient's reply updates your schedule (in dental clinics).
  • One person can book for the whole family (in dental clinics).
  • Respects your holidays and public holidays: it gives no appointments those days and explains why.

Each client's record

Your client base in order: what you know about each person stops living in someone's head.

  • A record for each client with their history, their preferences and your notes.
  • Keeps the colour formula with its version history, and if the sensitivity test is due again before a chemical service, the panel warns you — never the client (in the beauty sector).
  • Imports your clients from your phone's contacts or from your current software.
  • Tags where each new client came from, so you know what fills your schedule.
  • A log of calls and conversations, with transcripts.
  • Prepaid packages and session bundles, with the remaining sessions always visible and a warning if a package is about to expire with sessions left.
  • Quotes your team builds in phases, as a PDF with the clinic's brand: once accepted, the appointments for each phase come out of the plan itself. And if one stalls, ClaudIA follows up with two messages at most, never naming the treatment or the amount (in dental clinics).
  • Your data exports whenever you want: the client base is yours and you take it with you.

Marketing and loyalty

Fill the schedule with the clients you already have.

  • Automatic reminders that cut no-shows.
  • Campaigns to your client base: you write the message, choose who gets it and ClaudIA sends it.
  • Automations you switch on and off: win-backs, birthdays, reviews and, in dental clinics, the check-up reminder that follows each treatment's own schedule — the cleaning at six months, the orthodontic check at one.
  • Wins back clients or patients who have not been in for a while.
  • Asks for Google reviews after the appointment.
  • If something went wrong, the complaint reaches you in private before it reaches Google.
  • Loyalty programme with stamps or points and the rewards you choose.
  • Suggests add-on services and helps sell prepaid packages.
  • Referral programme: each client gets their own link to recommend you, and you see who brought whom without anyone having to remember to write it down (beauty sector).
  • Sends birthday messages and asks for a deposit by Bizum to secure appointments (in the beauty sector, in Spain).

Management and compliance

Clear numbers and the law met, with no separate paperwork.

  • Reports on revenue, services and occupancy, with a map of the hours that fill up.
  • A daily summary of your business, on your phone.
  • An account for each member of the team, with permissions: they run the day to day without touching settings or billing.
  • You give it orders in the same chat where it alerts you — move an appointment, book one, block an afternoon, message a client — and it does none of them without your confirmation.
  • Each phone on the team with its own role: whoever runs reception moves and books appointments, but does not cancel or message clients.
  • Escalates to a person when needed, and you can pause the AI and reply yourself.
  • Everything is logged: what was done, when and by whom.
  • Staff time tracking and working-hours records, with the report for an inspection in one click (in Spain, where the law requires it — salon or clinic alike).
  • Takes payment at the counter and runs the day's till: one ticket can take several payment methods and even several currencies, each at the rate of the day it was charged.
  • The close balances by method and by currency, and the month downloads for your accountant with one row per payment.
  • In Spain the till arrives together with Verifactu invoicing, which is in preparation.

Some features depend on the plan and the sector. Voice answering needs a local phone number and ours is Spanish today: a new country opens up as soon as a business there asks for it. You will see the full detail on each product's own site.

The details that make the difference

What sets ClaudIA apart from any old bot is in the details.

  • Natural voice

Answers the phone and speaks like a person, not like an answering machine.

  • Multilingual

Replies to each client in their language, with nothing to set up.

  • Photos and voice notes

Understands a voice note or a photo of a design, not just text.

  • Waiting list

Fills last-minute gaps by alerting whoever was waiting.

  • Wins back lapsed clients

Brings back those who stopped coming, at the right moment.

  • Escalates to a person

Hands the conversation over when the case needs human judgement.

Transparency and control

An AI that answers your clients has to be explainable. These are the rules ClaudIA works by, in line with what the EU AI Act requires.

With your name and your tone

You choose what your assistant is called and how it speaks: warm, elegant, formal or informal. With one deliberate limit: it cannot share a name with anyone on your team, so whoever writes always knows whether the AI or a person is answering.

You know you are talking to an AI

ClaudIA introduces itself for what it is, a virtual assistant. It never passes itself off as a member of your team.

The last word is yours

When a case needs human judgement, it escalates the conversation to your team with the context of what was said.

You can pause it whenever you want

You take over a conversation or switch the assistant off at any moment, without depending on anyone.

Everything is on the record

Every conversation is stored, so you can review what has been said to each client on your behalf.

Data hosted in the EU

Your information and your clients' data are hosted in the European Union.

It does not decide for you

It answers, informs and books. It does not evaluate people or make clinical decisions: that is the professional's job.
