What it is and what it does

What is ClaudIA Tech?

ClaudIA Tech is a Spanish company that builds ClaudIA, an AI virtual assistant for appointment-based businesses: answers WhatsApp, Instagram and phone calls, and uses what it learns in each conversation to run the schedule, the client records, the reminders, the loyalty programme and the reports. Thousands of appointments handled every day in businesses in Spain, Venezuela, Colombia, Peru and Ecuador. You get it at ClaudIA for beauty salons (soyclaudia.app), ClaudIA Dental (soyclaudiadental.com), ClaudIA Pet (soyclaudiapet.com) and ClaudIA Fisio (soyclaudiafisio.com).

What products do you offer?

Four, one per trade, with the same AI engine and the same management software underneath — the schedule, the client record, packages, reminders, campaigns and reports — specialised in the vocabulary and the way each sector works. You get each one on its own site: ClaudIA for beauty salons (soyclaudia.app), ClaudIA Dental (soyclaudiadental.com), ClaudIA Pet (soyclaudiapet.com) and ClaudIA Fisio (soyclaudiafisio.com).

Is ClaudIA a fit for my kind of business?

If you work by appointment, almost certainly. The engine is the same for everyone and what changes is everything around each trade: how ClaudIA speaks, what it asks before offering a time, and how it organises your work. Today there is a dedicated product for beauty salons, dental clinics, dog grooming salons and physiotherapy clinics; if yours is something else that runs on appointments, write to us and we will tell you how it would look.

Does ClaudIA replace human contact?

No. ClaudIA handles the repetitive part — answering, informing and booking — and hands the conversation to your team whenever it needs a person. There is nothing to configure for that: it steps aside on its own if someone asks to speak to a person, if it detects they are upset, or if the case falls outside the ordinary, and it alerts you on your phone with the reason. The personal touch stays in your business.

In Spain, what about Verifactu and TicketBAI?

On 5 October 2026 the Spanish Tax Agency announced that Verifactu is postponed to October 2028, to coincide with business-to-business e-invoicing; Álava, Gipuzkoa and Bizkaia use TicketBAI, the system of their own provincial tax offices. What ClaudIA's till gives you today: you take payment from the appointment, balance the day, and your accountant gets what was collected sorted by day, by payment method and by VAT rate — or IGIC in the Canary Islands — with a numbered receipt for every payment. And if you would rather keep the POS you already have, ClaudIA sits alongside it: your schedule and your till, each to its own.

Can I take payments with ClaudIA and sell products at the counter?

Yes. The till takes payment for the appointment at the counter —one ticket can take several payment methods— and whatever you sell goes on that same ticket: the shampoo, the cream or the toothbrush your client takes home, found by name or with the barcode scanner. Stock goes down on its own with each sale and comes back if the ticket is refunded; deliveries and stock counts are recorded, so you always know why you have what you have, and you are warned about anything below its minimum before it runs out. At the end of the day, the close balances by payment method.

Do my clients have to install an app or sign up?

No. No app, no account, no password: they open the link, choose, and leave their name and phone number. There is no booking commission either. It is your page with your brand, not a third party's marketplace where your client ends up being theirs.

Is ClaudIA a chatbot or management software?

Both, and the second half is the one you notice at the end of the month. The chat is how the work comes in: someone writes, ClaudIA replies and books. What happens afterwards is the rest of the product: the client record with their history and preferences, packages with the sessions remaining, reminders, campaigns to your client base, reviews, revenue and occupancy reports, team accounts and staff time tracking in Spain. If all you need is the answering half, that works too; but describing it only that way leaves out most of what it does.

Can I run campaigns to my clients?

Yes. You write the message, choose who it goes to — for example, anyone who has not been in for X days — and ClaudIA sends it for you, with its own queue and sending history. There are also automations you switch on and off: win-backs for people who stop coming, check-up reminders, the birthday message and the review request after the appointment. And anyone who asks to stop receiving notices stops receiving them, without you having to remember.

Can the AI book two appointments at the same time?

No. Avoiding overlaps does not depend on how well the AI is trained, but on a system constraint: two appointments at the same time do not fit in the schedule, and ClaudIA always books against the real free slots. What does depend on you is how long each service takes — you set that up yourself; treatments with a waiting stretch arrive with typical times preloaded, and you adjust them. If a treatment has a waiting stretch — colour developing — you can mark it, and ClaudIA uses that gap for a short appointment instead of blocking the whole thing.

Which channels does it answer on?

WhatsApp, Instagram and phone, with a natural conversation and at any hour, including outside business hours. WhatsApp and Instagram work in any country from day one; voice answering runs on a local number in your country, which we set up as soon as you ask.

I run a dog grooming salon. Will it quote prices and give advice over WhatsApp?

A price range, yes: the final amount is agreed when you see the dog, which is exactly what you do — matting is not priced without seeing the dog. Before offering a time it asks what changes the job: size, breed, the state of the coat and how the dog behaves, and it books the time that service really takes at that size, not a generic slot that will not fit later. Advice, none: a wound, a limp, a lump or itching gets no opinion — it refers them to a vet and alerts your team. It is all set out on ClaudIA Pet (soyclaudiapet.com).

I run a physiotherapy clinic. Does ClaudIA assess the patient?

No, and it is built not to. It takes down the reason for the visit exactly as the patient describes it and leaves it written for the practitioner who sees them: it does not assess, diagnose, recommend a treatment or give an opinion on how serious it is. Faced with an urgent reason, what it does is prioritise: it offers the first free slot, passes you the reason as it was told, and alerts your team right away. What it does run is the management side: a schedule that lines up practitioner and room at once, the sessions left on each package, and the reminder for every session. It is all set out on ClaudIA Fisio (soyclaudiafisio.com).

Price and terms

Does ClaudIA charge a commission on each booking?

No. There are no booking commissions and no intermediaries: your clients, and your relationship with them, stay yours.

How much does ClaudIA cost?

In Spain, ClaudIA for beauty salons starts at €59 a month plus VAT on the Esencial plan, with no sign-up fee. The first month is free, and no card is needed to try it. The terms are the same across all four products: no commission per booking, no percentage of what you invoice and no lock-in — you pay month to month and leave whenever you want. Each product publishes its plans on its own site, with prices in your country's currency: ClaudIA for beauty salons (soyclaudia.app), ClaudIA Dental (soyclaudiadental.com), ClaudIA Pet (soyclaudiapet.com) and ClaudIA Fisio (soyclaudiafisio.com).

Do you have a referral programme?

Yes, for ClaudIA in beauty salons. If you recommend ClaudIA to another business and that business reaches six months of payment, you get two months free. There is no cap on referrals, and whoever joins starts with their own free first month like any new client: the reward goes to the person recommending, it is not a discount taken off the newcomer. The details and sign-up are at soyclaudia.app/en/referidos.

Your data and your clients

Can I take my clients with me if I ever leave?

Yes, whenever you want and without asking permission. Your client base exports to a file with one click, and not just names and phone numbers: the visit history and preferences come too, which is what makes the next system useful to you from the first week. There is no commission per booking either, and your clients write and call the number you have always had, so the relationship with them never stops being yours.

Where is the data hosted?

In the European Union, with data handled in line with the General Data Protection Regulation (GDPR). And not everything is kept forever: the photos and voice notes your clients send through the chat delete themselves after 90 days, with nobody having to remember.

Do you use my conversations to train the AI?

No, and it is not a policy that can be changed without telling you: it is written into the contract you sign. Neither your data nor your clients' is used to train artificial intelligence models. It is not crossed between businesses either — each business sees only its own — and it is never sold or used for advertising. The contract also carries the annex listing the companies involved in the service, each with its country and its safeguard.

Can consent forms be signed, and before-and-after photos kept?

Yes. The consent text is written once and assigned to the services that need it; from the client's record you prepare the link and send it yourself, however you like. Whoever signs opens it on their phone, reads the text exactly as it was stored, types their name and signs: it is filed with its date and its PDF in their record. Change the text later and it moves up a version, so what is already signed does not move, and from the panel it can only be voided — nobody signs on anyone else's behalf. Before-and-after photos are tagged from the very conversation they arrive in, and the record shows them day by day. In dental clinics and physiotherapy clinics, a photo cannot be tagged without that person's signed consent: it is health data, and the system is what closes that door.

What does ClaudIA do with each client's record?

It writes and maintains it on its own, from what it learns in each conversation and each appointment: the visit history, the preferences, your notes and what belongs to your trade — in a beauty salon, the colour formula and the sensitivity test; in a dental clinic, the stage of treatment and its phased quotes; in a dog grooming salon, a record per dog hanging off its owner, with its size, coat and temperament; in a physiotherapy clinic, the reason in their own words and the sessions left on each package. It also tags where each new client came from, so you know what fills your schedule. And it exports whenever you want: the client base is yours.

Countries and languages

Which countries does ClaudIA work in?

Every country. ClaudIA has no technical country limitation: it speaks several languages, adapts to the local phone format and works with your business hours, wherever you are. There are also country sites with prices in the local currency, and which ones depends on the product: ClaudIA for beauty salons and ClaudIA Dental, in Spain, Argentina, Chile, Colombia, Ecuador, United States, Mexico, Peru, Portugal, United Kingdom, Dominican Republic, Uruguay, Venezuela; ClaudIA Pet and ClaudIA Fisio, in Spain, Colombia, Peru, Venezuela. If yours is not there, you can still get it from the product site.

Does ClaudIA answer the phone in my country?

ClaudIA handles WhatsApp and Instagram in any country from day one, which is where most clients write. And the phone too: voice answering works by diverting calls to a local ClaudIA number in your country, which we set up as soon as you ask. Write to us and we will open it.

Getting started

Is it hard to set up?

No: you do it by talking. ClaudIA asks you one thing at a time, with buttons, and you answer as you would to someone at the front desk. You take a photo of your price list — even if it runs to several pages — and it reads your services; another of the opening hours on your door and it notes them down; then it asks who works with you, what each person does and when. While you talk you see it taking shape, and you can leave it halfway and carry on another day. Before connecting it to your WhatsApp, you try it from the panel by writing to it as if you were a client. And if you get stuck, you ask on WhatsApp at any hour.

Do I have to change the tools I already use?

No. ClaudIA sits in front of what you already have. It syncs with Google Calendar both ways — its appointments appear in your calendar and it respects whatever you write in yourself —, it gives you the link you paste into your Google listing's appointment-link field, and another for your Instagram and your Facebook, and it asks for your Google reviews for you. You bring your clients across from the software you already use by exporting a CSV, or from your phone's contacts; they load in a few minutes and nothing is duplicated, because the reference is the phone number or the email.

Does it integrate with the management software I already use?

There are two routes. If your dental clinic runs on Nubimed, the Spanish dental practice software, there is a connector of its own and the two calendars become one: the appointment ClaudIA closes over WhatsApp or by phone is written in Nubimed at that same moment, and whatever your team does there — create an appointment, move it, cancel it, register a patient — reaches ClaudIA within seconds. It is set out in full at soyclaudiadental.com/en/funciones/conector-nubimed-clinica-dental. With any other program the route is the schedule: if it syncs with Google Calendar — most salon and clinic programs do — ClaudIA works with it through there, and both ways, so there are no two schedules to reconcile. The schedule stays continuously in sync, and your clients are imported in a few minutes by exporting a file from your program. And they export whenever you want: the client base is yours.

Do I need to have a website?

No. ClaudIA gives you your own booking page with your logo, your colour and your business name: whoever lands on it picks the service or treatment, who with and at what time, and the appointment goes straight into your schedule. If you already have a website, the link goes there just as it goes in your Instagram, your Facebook or the appointment link on your Google listing — and it also produces a QR poster for your door. You decide the minimum notice for booking, how many days are visible and whether prices are shown.

Do I need a new number or to change my WhatsApp?

No. Your clients keep writing and calling the number they always have, and your WhatsApp keeps working normally on your phone: ClaudIA answers alongside it and you can take control of any conversation whenever you want. There is no migrating your WhatsApp anywhere and no new line to set up. Voice answering runs on that same number: you set up a call divert from your own phone — every call, or only the ones you cannot pick up — and ClaudIA answers those.

How can I see it working or get started?

You get ClaudIA on its product site, not here: ClaudIA for beauty salons (soyclaudia.app), ClaudIA Dental (soyclaudiadental.com), ClaudIA Pet (soyclaudiapet.com) and ClaudIA Fisio (soyclaudiafisio.com). On each one you will see how it works, examples and your country's plans in your currency; on the beauty salon site, the first month is free, and no card is needed to try it. To see it right now, message it on WhatsApp as if you were a client: we have a beauty salon, a dental clinic and a physiotherapy clinic set up as demos, behind each product's "Try it on WhatsApp" button. And if you would rather see it with your own business in front of you, write to us: we will give you a demo with your own details and help you choose the plan that fits.
